How to collect wedding guest photos with a QR code

Plan a wedding photo QR code: choose a shared camera, test guest access, place your invitations and decide when the album will reveal.

Create one destination for guest photos, test the invitation on iPhone and Android, and place the QR where guests can use it comfortably. Explain whether they should take new photos or upload existing ones.

Wedding guest photos capture perspectives you may never see during the day: another table's toast, a friend arriving or the dance floor after dinner. Giving guests a shared destination makes those pictures easier to gather.

The QR code is the invitation to that destination. The rest of the plan is choosing what guests do after scanning it, showing them where to start and deciding when the photos will be visible.

Decide whether guests will take or upload photos

An upload album collects pictures guests have already taken with their usual camera. A shared event camera asks them to take new pictures inside the event experience. Choose the workflow that matches what you want to collect, and explain it on the invitation.

Occur is a shared event camera. The organizer creates the wedding event in the iPhone app, chooses a cover and camera settings, then shares its invitation link or QR code. Guests use that camera to contribute to the event album.

Prepare and test the invitation before printing

Use the invitation generated for your event. Keep the QR clear, with good contrast and empty space around it. Print a sample at the actual size, then scan that print from a comfortable distance under lighting similar to the venue.

Try the link on an iPhone and an Android phone, including a phone that has never joined the event. In Occur, the host needs the full app and an account; guests enter a name and join through the App Clip when supported, or their browser. Camera permission is still required.

  • Confirm the invitation opens the correct event.
  • Check that the event closing time matches your plans, including the after-party if needed.
  • Test a capture and a completed upload at the venue.
  • Keep the invitation link available as an alternative to scanning.

Place the QR where people can stop and use it

A welcome sign can introduce the camera, while a small card at each table gives people a chance to join when they are seated. Use a short instruction that says what will happen, such as opening the wedding camera and taking a few photos.

Ask a member of your wedding party to demonstrate joining. A brief explanation before dinner or dancing can make the invitation easier to understand than a QR code without context. Avoid placing the only copy somewhere guests must queue, walk or hold drinks while scanning.

Set the reveal and explain who can view photos

An instant reveal lets authorized viewers see photos during the celebration. A delayed reveal lets the album become something to discover afterward. In Occur, the organizer chooses the timing and can add a further delay after the event.

Gallery visibility is separate from timing. Tell guests whether they will be able to view the album or whether photo viewing is restricted to the host. Share the invitation with intended participants and explain the event's photo-sharing expectations before people contribute.

Finish uploads and save the photos afterward

A venue with patchy reception needs a little preparation. Joining requires internet access. After joining, Occur saves captured photos on the device before uploading them. Guests using the browser or App Clip should keep it open to finish pending uploads when a connection is available.

After the reveal, download the photos you are entitled to keep and make your own backup. Event storage is temporary. A guest camera can add personal perspectives alongside a photographer's work, but it does not replace arrangements for essential wedding photography.
